BECOME A VENDOR

VENDOR ELIGIBILITY REQUIREMENTS

 

Well Ray Vendors must fit into one of the following categories:

  1. Practitioners, including but not limited to yoga, Pilates, fitness programs, therapeutic resources, massage, acupuncture, physical therapy, chiropractic, nutritional counseling, personal training, health monitoring services, wellness coaching, meditation, counseling, healthcare and energy work.
     

  2. Retailers, including but not limited to wellness-inspired fashion, skin care, and supplements. Please note, only one vendor booth per multilevel marketing company such as Rodan + Fields, Beautycounter, etc. will be accepted. This will be done on a first-come, first-served basis. We encourage individual consultants from the same company to team up and apply for a Well Ray booth together. 

  3. Other businesses that have a verified connection to wellness.

*Well Ray reserves the right to follow-up with any vendor to further discuss information provided within their application.

 

APPLICATION/REGISTRATION POLICIES

  1. All interested vendors must fill out the online Well Ray Festival vendor application.
     

  2. Admission is NOT guaranteed. All interested vendors will receive an email regarding the result of their application after the application by Wednesday, April 10th. Applications received after this date will be placed on a waitlist. Please note that vendors from Alexandria and/or those  with the most dynamic booths (i.e. best wellness products or most interactive and informational) will be given priority placement. Please be sure to provide your best description of your booth and/or class!
     

  3. Once approved, you will receive a confirmation email from wellrayvendors@gmail.com. You will need to submit payment online within 48 hours to secure your spot. If online payment is not possible for your business, please check the "pay by check" box below or email wellrayvendors@gmail.com for more information about how to make alternate payment arrangements. Please note, applications will be held until payment is received in full, with all space assigned on a first-come, first-served basis for completed and approved applications.
     

  4. Any vendors leading a physical activity, performing services, and/or teaching a class will be required to provide a certificate of insurance naming the Del Ray Business Association as additional insured under their general liability policy prior to the Well Ray Festival. The Well Ray Festival also reserves the right to ask for a certificate of insurance from any vendor regardless of activity.
     

  5. All vendors are required to have the correct licenses, certifications, insurance coverages, and/or permits for their activities at their booth. The Well Ray Festival reserves the right to ask for documentation from any vendor.

   6. Given the limited number of vendor spots, there will be no refunds. We expect vendors to come for the event Rain or Shine. 

 

    7. Accepted vendors will be encouraged and expected to utilize the provided media kit to publicize the Well Ray Festival.

WELL RAY FESTIVAL GUIDELINES

  1. Well Ray is a rain or shine event. All vendors will be located in the Salvation Army & Wellness Junction Lots. As many classes as possible will be accommodated inside the Salvation Army. 
     

  2. Set up begins at 8:00 AM. The Well Ray Festival opens at 10:00 AM and runs until 2:00 PM.
     

  3. Breakdown must be completed by 3:30 PM.
     

  4. Each vendor is provided a  10 feet by 10 feet space. Vendors must supply their own tents, tables, displays, equipment, supplies, chairs, and other items kept within the assigned space and may not encroach into the adjacent space or street, onto any sidewalk, or onto private property. Tents & tent weights are mandatory. 
     

  5. Accepted vendors are required to provide their own aesthetically pleasing and professional looking set-up appropriate for an event with children and pets, including a tent, display items, equipment, supplies, chairs, etc., including tools to set up items in their assigned space and weights to adequately secure tents. Well Ray reserves the right to require a tent be taken down if it is not adequately secured.
     

  6. Electricity and water hookups are not available to vendors.
     

  7. Vendors are responsible for protecting their equipment and supplies from damage and theft. The Well Ray Festival and The Del Ray Business Association are not responsible or liable for any loss, theft, or injury incurred by any vendor. 
     

  8. Each Well Ray Festival vendor is personally responsible for the collection and reporting of Virginia Sales Tax, where applicable, if selling any items.
     

  9. Any vendors selected to teach a fitness class as part of our class schedule will be required to provide their own music (plug into Well Ray sound system from vendor's phone). Class length and location will be assigned by the Well Ray festival based on overall event flow.

Volunteers will be available to assist vendors and answer questions as needed throughout the day
